Small business owners keep paying for AI subscriptions that sit unused because they asked "which product should I buy" before asking how their time and their operation actually work. Two ratios, the 70/30 Rule for where your week goes and the 70/20/10 Rule for why the software is only 10 percent of implementation, show what to fix before spending another dollar.
Small businesses are not short on software, they are short on clarity about where the hours go. Find the waste, fix the process on paper, digitize it, then measure the result before you buy anything else.
Small businesses get stuck in pilot mode in two ways: they try AI with no baseline and quit, or they wait for the whole business to be ready. Picking one task, setting a number, and giving it a real window gets you moving.
The monthly fee on an AI tool's pricing page is the unit cost, and the total cost includes setup, training, workflow changes, the hours spent fixing output, usage-based token charges, and the price of rebuilding when the tool changes or disappears. Three questions about one tool you already use, plus a PERT estimate and a recovery plan, show you what that software actually costs before you buy anything else.
